Rockwell West Room 220 (GLC) Conference Room Technology Guide

Rockwell West 220 - Global Leadership Council (GLC) is equipped with multiple displays, a laptop, a Surface Hub interactive whiteboard, and several wall-mounted PTZ cameras. This room can be used for in-person meetings, as well as for hybrid calls when properly booked through the Video Production team. For hybrid / Mosaic calls in the GLC, participants will appear on the wall display and the cameras will be controlled by the Video Production Team.

Using the space for a hybrid meeting

In order to utilize the cameras and microphones in this space and connect to a hybrid call, this room must be properly booked in advance through the Video Production Team. The cameras and microphones are routed to the production studio and therefore cannot be connected to a user's device.


When properly booked, this room can take full advantage of the multiple PTZ cameras and ceiling microphones controlled from the production studio for a hybrid call and/or a high-quality recording.


This room can be used without booking through the Video Production Team for in-person meetings and still utilize the room displays and Surface Hub; it will just not have the ability for a hybrid call or recording.


Sharing your device's screen with the conference room displays

To share a device's video and audio, connect to the conference room system using either a wired connection (located at the podium) or a wireless connection using the MirrorOp app.


Connecting a device wirelessly

1. On the touch panel, select the Wireless option.


2. On your device, open the MirrorOp app* and enter the IP address, followed by the code, both of which should appear on the displays in the room.

3. Press the Present button to begin presenting your device on the wall displays.


Connecting a device with a wired connection

1. On the touch panel, select the Wired source option.

2. Connect your device to the cable located at the podium. The cable has the following connection options: HDMI, DisplayPort, Mini DisplayPort, and USB Type C.

Switching between duplicate and extended display

Windows:

1. Press  + P

2. Select Duplicate or Extend


Mac:

1. Open Settings

2. On left side bar click Displays

3. Select the drop down to choose between Extended display or Mirror


Switching display modes

On the touch panel, there are three options for the wall-mounted displays. These options can be selected on the touch panel located on the podium.


  • Mirror Projector: one display will match the source on the projector (BYOD wired, BYOD wireless, or Surface Hub).
    • Left display: same as projector
    • Right display: blank

  • Delegate Mode: the two displays will show the computer running a Zoom call.
    • Left display: Zoom call
    • Right display: Zoom call

  • Split Mode: one display will show the computer running a Zoom call; the other display will mirror whatever is showing on the projector.
    • Left display: Zoom call
    • Right display: same as projector

The display will be blank if a Zoom call option is selected while there is not currently a Zoom call in progress.


Adjusting lights and shades

1. On touch panel press the light bulb icon to go to the lights and shades menu.

2. Select a lighting preset or use the arrow buttons to adjust lighting and shades to desired level.


Using the Surface Hub

The Surface Hub has two primary use cases: use as a display or use as a whiteboard.


Using the Surface Hub as a display

1. From the Hub's main screen press the Connect button.


2. A blue screen should appear with a small preview in the bottom center of the screen. Select the preview to begin displaying on the Surface Hub. This preview will be determined by whatever is displaying from the touch panel.


Using the Surface Hub as a whiteboard

1. Please refer to this guide for instructions on using the Surface Hub whiteboard application. [This guide will be released shortly]


2. If you wish to share the whiteboard on the conference room displays or with remote attendees, press the Surface Hub button on the podium's touch panel. This will share whatever is on the Surface Hub on the room's other displays and allow the Video Production Team to share the Surface Hub's screen with remote attendees.


Troubleshooting the Surface Hub

An echo is coming from the Hub's speakers

1. Mute the Surface Hub by using the volume down button on the right side of the Hub until the Hub's volume is 0.


I am not able to access the Hub's main menu

1. An application may be in full screen mode. To exit full screen mode, swipe from the top or bottom of the screen until an "Exit full screen" button appears at the bottom of the screen, then press the Exit full screen button.


2. If this does not work, you may need to reboot the Surface Hub. To reboot the Hub, press and hold the power button on the right side of the Hub until the screen turns black. After several seconds, press the power button again to power it back on.


I want to display two apps side by side

1. Applications can be resized and moved to be displayed side by side. To do this, swipe up from the bottom of the Hub's screen until an "Exit Fullscreen" button appears, then press it.


2. Select and drag the middle dividing line to resize an application.


3. Press the Windows icon to open another app and display them side by side.


Connecting to guest WiFi

1. For guest WiFi, connect to the csu-visitor network and follow on-screen instructions. CSU students and employees should use csu-net. Please visit the Wireless information page for more details.


Frequently asked questions

What video conferencing platform does the GLC use for remote calls?

1. This room uses Zoom for all remote calls.


How can I create a Zoom call for this room?

1. Booking this room through the Video Production Team is the only way to run a hybrid meeting in this space. The Video team will create and manage the Zoom link, so please coordinate with them.


How can I set up breakout rooms for my Zoom call?

1. Please coordinate with the Video Production Team to set up breakout rooms in advance after you have booked the room.


How can I adjust the room volume?

There are several places where volume can be adjusted:

Touch Panel

1. Press the up / down arrows on the right side of the touch panel

Device

1. If connected via wired connection, adjust the volume of your connected device by using the volume button  in the bottom right corner

2. If connected via wireless connection (using MirrorOp application), volume can be controlled via the MirrorOp app by pressing the volume button in the app.  This will open a volume slider which can control the volume being cast to the speakers.   Note that connecting via the MirrorOp app will automatically mute the device's speakers. Adjusting volume on the device using the operating system's volume controls will control volume for the device, not for the room's speakers.

Media

1. If adjusting the volume on the touch panel and your device still does not result in the desired volume level, you may need to adjust the volume of whatever media is playing (YouTube, downloaded video file, music, etc).


How can I get a remote clicker to advance my PowerPoint slides?

1. Please visit the IT Help Desk in Rockwell Hall 37 (located in the basement on the south side of the building) and ask to check out a remote clicker. This clicker can plug into an available USB port on your device.


How can I use the guest laptop in the GLC?

1. The guest laptop is available at the podium. Login details are attached to the device.


Can I use this room without booking through the Video Production Team?

1. Yes, but no hybrid call functionalities will be available.


Requesting tech support

1. To request immediate support, on the touch panel at the podium, press the phone button  then press Send a technician to the room


2. If you are using Video Production's services for a meeting, you may verbally request assistance via the microphones around the room.
